Tasks & Projects 🥷

✅ Team OS System: Micro-Step Setup Checklist

📌 Objective:
Build a centralized, automated system to manage team projects, assign tasks, track progress, and generate reports—without micromanagement or confusion.

🧱 SECTION 1: Set Up Project Boards

  • Go to Team > Projects inside your OS dashboard
  • Click “+ New Project Board”
  • Name the board based on team, outcome, or initiative
  • Add columns to represent stages (e.g., To Do, In Progress, Review, Done)
  • Create tasks with owners, due dates, priorities, and status tags
  • Assign team members directly to tasks for accountability

⚙️ SECTION 2: Activate Tasks & Projects Automation

  • Navigate to Automations > 2 | Launch Pack ⚡️
  • Select the “Team Projects” automation template
  • Set triggers like:
    • Task created or updated
    • Project moved to a new stage
    • Task overdue or completed
  • Configure actions like:
    • Assign a team member
    • Send a Slack/Email alert
    • Tag for review or escalation
🧠 Use this to remove manual follow-ups and keep projects moving automatically.

📝 SECTION 3: Implement the Project Request System

  • Go to Team > Projects > Requests
  • Click “+ New Project Request”
  • Customize the request form (e.g., department, deadline, description, urgency)
  • Create approval workflows (e.g., auto-assign to manager or PM)
  • Automatically convert approved requests into projects or tasks on a board
🧠 Ideal for cross-team collaboration, marketing requests, or service-based teams.

📊 SECTION 4: Utilize Team Reports

  • Go to Team > Reports
  • Use filters to track tasks by user, status, board, or tag
  • View productivity insights like:
    • Tasks completed per person
    • Overdue tasks
    • Average completion time
  • Schedule weekly/monthly reports to be auto-sent via email to team leads
  • Use data in team meetings for accountability and adjustments
