Time to take control of your bookings! Whether itโ€™s for sales calls, coaching, or team meetings, setting up your calendar inside OS ensures smooth scheduling, synced reminders, and no double-bookings. From Round Robins to custom URLs, this walkthrough gets your calendar up, live, and client-ready in no time.

Calendar Setup Checklist

๐Ÿ”ง Create Your Calendar

  • Go to "My Calendars" โ†’ Create/Edit Calendars
  • (Optional) Use a templated calendar if you're on the Partner or Platinum tier
  • Click "Create New Calendar" in the top-right corner
  • Choose your calendar type (e.g., Round Robin = most common)
  • Name your calendar something clear and relevant
  • Select one or more team members to attach
  • Create a unique calendar URL (get creative if it's taken!)
  • Click "Advanced Settings"

๐Ÿ–ผ๏ธ Customize Calendar Details

  • Add/edit your logo, description, group, and invite title
  • Set appointment distribution (recommended: Optimize for Availability)
  • Confirm meeting locations and assign event colors

๐Ÿ•’ Set Availability

  • Click "Availability"
  • Add accurate available times (don't let people book you while you're sleeping!)
  • Hover over the info icons to understand each meeting setting

๐Ÿ“„ Forms & Confirmation Settings

  • Select a pre-built form for gathering info during booking
  • Customize the confirmation message or redirect users to a different page

๐Ÿ”” Notifications & Reminders

  • Go to "Notifications & Additional Options"
  • Select Assigned User for internal notifications (automations handle client reminders)
  • Enable Google/Outlook invites for client convenience
  • Assign contacts to the meeting team member
  • Leave default Google/Outlook notes unless customization is needed

๐ŸŽจ Customize the Look

  • Go to "Customizations" to adjust how the calendar looks on your site
  • Click "Save" when youโ€™re happy with everything
  • Toggle your calendar Active when ready!

๐Ÿ” Final Checks & Integrations

  • Review your own My Profile settings
  • Sync your Google/Outlook Calendar (click "Add New")
  • Go to "Video Conferencing" and connect Zoom
  • Under User Availability, confirm your meeting location & time zone
  • Double-check that your personal availability matches your calendar settings
  • Click "Update Availability" to lock it in
